Invite Team Members

Invite team members to collaborate on managing your chatbot with specific permission levels. This guide explains how to add team members and understand different access roles.


Managing Team Members

You can invite up to 0/5/20/1000 team members to help manage your chatbot depending on your plan Free/Entry/Standard/Professional, . Each member can be assigned specific permissions based on their role and responsibilities.

To view and manage team members:

  1. Navigate to your chatbot's Settings tab.
  2. Access the Members section.
  3. View the list of current members, their roles, and permissions.

Inviting New Members

To invite a new team member:

  1. Click the Invite a member button.
  2. Enter the member's email address.
  3. Select the appropriate permission level.
  4. Click Invite to send the invitation. The invitation will only work if the other user has signed up for Chat Data. They will receive an email notification about the collaboration. If the user has not signed up yet, they will receive an email with a link to sign up. After they sign up, you will need to invite them again.

Permission Levels

Chat Data offers four permission levels for team members:

  • Read: Can view chatbot configurations and chat with the chatbot in the administration panel. Cannot make any changes.
  • Train: Can train the chatbot but cannot view or modify configurations.
  • Full: Has complete access to edit configurations and train the chatbot. Can also integrate with third-party platforms. Cannot manage team members or delete the chatbot.
  • Admin: Has full access plus the ability to invite/edit members and delete the chatbot.

Roles

In addition to permission levels, there are two roles: Owner and Member.

  • Owner: The owner of the chatbot. The owner has full access to the chatbot and can invite/edit members and delete the chatbot. The owner has the admin permission level and can also transfer the owner role to another member.
  • Member: A member of the chatbot. The member must follow the permissions assigned to them based on the above permission levels.

Only the owner can transfer the owner role to another member. After transferring the owner role to another member, the owner will automatically be demoted to a member with the admin permission level. Then the owner can leave the team if they no longer wish to access the chatbot. Transfer Owner Role

Owner Transfer

After the owner transfer, the chatbot will follow the subscription of the new owner's account. The owner transfer will fail if the new owner's account does not allow more chatbots to be created.

Member Information

The members list displays:

  • Email address
  • Number of permissions granted
  • Member since date
  • Role (Owner/Member)
  • Permission details

Important Note

The chatbot owner automatically has admin-level access and cannot have their permissions modified or be removed from the chatbot.
